ADMISSIONS PROCEDURE (K5-12)

The following is the procedure for admissions to ASA.

I. Admissions Candidate List

There is a separate procedure for K4 admissions. From this procedure a waiting list is created which is used for contacts for elementary admissions. The list is used, as space becomes available in the Elementary school. The entire list of grade 5 is contacted in the second semester of the school year to confirm interest in remaining as a potential candidate. This new list is used, as space becomes available in the Secondary

II. Initial Contact by New Candidates

A parent or guardian inquires about admissions. If the inquiry is made in person, they are directed to the Principal's Office for Elementary admissions and to the Guidance Office for Secondary admissions. The Office distributes and receives the signed Application Form. If the inquiry is made by phone, the secondary Guidance Office records the date when the inquiry was made, the name and phone number of the parent or guardian, and the name, age, and grade level of the potential candidate. Elementary School inquiries must be done in person. All this is kept in an admissions database file.

III. Application Materials

When space is available, parent or guardian is notified and receives and signs for the packet of admissions materials. The date that the packet is issued is recorded in the database. The admissions packet contains the following:

- Parent-Student Handbook

- Cover Letter which details testing dates and procedures

- Guidelines for Admissions Procedures and Enrollment Form

- Application for Admissions Form*

- Health Certificate Forms

- Acceptance of ASA Regulations Form*

- Ministry of Education Matriculation Form*

- Consent Form for Release of Information from Previous Schools*

- Admissions Process Fee Form

*These items must be returned in order to begin the admissions process.

Parent or guardian is informed that the admissions process begins once the initial application fee is paid at the Business Office and the candidate returns to the office the materials indicated above accompanied by the following items:

- School Transcripts or Report Cards from the last 3 academic years (if applicable).

- Any available test results, including standardized tests and psychometric tests.

- A valid passport, cédula de identidad, or other national identification document accompanied by a photocopy. Original document is returned upon verification.

- 2 recent wallet-sized photographs.

- 1 Original Birth Certificate and photocopy.

- Reference Letter from previous school.

IV. Admissions Process

Once these materials have been turned in, the application fee paid and/or the applicant has been given authorization to begin the process, the applicant will undergo the following procedure:

- Candidate is assigned a testing date (noted in the database) for the application of the admissions tests and written essays (where applicable). Depending on the candidate, this may include testing in both English and Spanish.

- Candidate schedules an interview with counselor or principal for evaluation of oral language skills and candidate readiness/maturity required for grade level.

- Candidate then takes the exams and interviews with the counselor or principal.

- Counselors and/or subject area teachers will correct and evaluate the examinations and grade level teachers will correct and evaluate any grade-level sampling.

Once this procedure has been completed, all data will be presented to the school's Admissions Committee. The Admissions Committee will review the case of each candidate and decide whether or not to recommend. Recommendations will then be presented to the Director General for review and final decision by the Board of Directors. Decisions will be communicated both in writing and via telephone or personal interview.

IV. Deadlines

The following are the general deadlines for the admissions procedure. These deadlines will be posted and advertised both at school and in local newspapers.

- Special testing dates needed because of extraordinary circumstances for Paraguayan school transfers can only be made with special permission of the Area Principal.

- Students transferring from schools outside of Paraguay must make special arrangements for testing with the counselor if unable to make May/june, July, or February test dates.

- Testing and interviews are done at specific times. Failure to be prompt and on time will result in the inability of the candidate to be tested. Rescheduling for this reason will require the candidate to interview with the Area Principal to request a new testing date, pay an additional admission fee, and delay the review and decision process.

- No testing nor admissions will take place after the end of the second week of classes of each semester in secondary unless transferring from abroad.

V. Enrollment

Admitted candidates may only enroll once they have completed the following:

- Paid at the Business Office the entrance fee, registration, and first tuition payment. The permission to register form will be issued by the Business Office.

- Handed in the completed Health Certificate, medical questionnaire, acknowledgment of school regulations.

NOTE: The Counseling Office will not register any student, issue a schedule, or allow a student to begin classes until the above items have been completed.

VI. Appeals

Any appeals to the admissions decision should be directed in writing to the Director General who will present this to the Board of Directors.
